This position is 30 to 40 hours weekly (M - F) depending on business demands. Our ideal candidate possesses strong written and verbal communication skills, enjoys teamwork, has excellent organizational skills with attention to detail. Office administration experience within a design firm is highly valued. Applicants must be able to prioritize and work in a fast-paced environment. Other requirements and responsibilities listed below: Requirements Associate's or bachelor's degree Two years of experience Proficient in Microsoft Office (Powerpoint, Word, Excel) and Quickbooks Must possess excellent verbal and written communication skills Positive attitude and willingness to learn Must have a valid Driver's License Must be able to lift 25 pounds Responsibilities Answer the phone, screen calls, take messages, schedule and confirm appointments.
Receptionist:
greet vendors and clients. Order lunches. Vendor communication, submission of Purchase Orders, order follow up, resolve customer service issues. Send Invoicing and process payments. Work with the bookkeeper on bill payments, insurance audits and reports. Make bank deposits. Generate and update reports. Order and maintain office supplies. Organize and update fabric and resource libraries. Assist designers as needed, including: Running errands, pick up and / or return of samples to showrooms. Preparation for presentations, layout, labeling of samples. Creation of Client Binders, Electronic Files, Folders. Create and maintain Specification Sheets for selected Materials / Furnishings. Obtain costs and order samples. Create Estimates. Create Purchase Orders. Document received furnishings, schedule deliveries. Inspect and label items shipped to the office. Assist with project deliveries on installation days. Benefits Competitive hourly pay commensurate with experience.
