Job Description

We are a locally owned lawn care and pest control company serving the Jacksonville, Florida area. We take pride in reliable service, honest communication, and results that homeowners and businesses can count on. POSITION OVERVIEW
The Office Manager is the operational hub of the business — the person who keeps things running smoothly behind the scenes and serves as the primary point of contact for our customers. You will own the day-to-day administrative and customer-facing functions of the office: answering inbound calls and leads, scheduling and routing technicians, managing customer accounts, and making sure nothing falls through the cracks. This is a role for someone who is organized, self-directed, and genuinely enjoys interacting with customers. The owner is hands-on and easy to work with, and this position will partner closely with him as the company scales. You will have real responsibility and real input into how the business runs.
KEY RESPONSIBILITIES
  • Answer inbound phone calls, text messages, and web inquiries promptly and professionally; convert leads into booked appointments
  • Manage and optimize the daily service schedule, coordinating routes for lawn care and pest control technicians to maximize efficiency
  • Maintain accurate and up-to-date customer records, service history, and account notes in field service software (FieldRoutes, PestPac, or similar)
  • Send service reminders, follow-up communications, and renewal notices to customers to maintain retention and reduce cancellations
  • Process invoices, payments, and billing inquiries; reconcile service tickets with completed work orders
  • Monitor daily route completion and communicate with technicians in the field to resolve scheduling issues or customer concerns
  • Handle escalated customer complaints with professionalism and ownership, working to resolve issues quickly and to the customer's satisfaction
  • Review call logs and booking metrics regularly; identify gaps in lead conversion or service gaps and flag them to ownership
  • Assist with onboarding new customers: welcome calls, service agreements, and setting up accounts
  • Support technician onboarding and help maintain HR paperwork, time records, and basic payroll documentation
  • Manage office supply inventory and coordinate with vendors as needed
  • Produce basic reporting on scheduled services, revenue, and customer activity to support business decision-making
  • Assist with recruiting efforts, including posting job openings, screening applicants, and scheduling interviews
WHAT WE'RE LOOKING FOR
  • 2 or more years of experience in office management, customer service, or call center operations
  • Experience in a home services, field services, or trades environment is a strong plus
  • Comfortable with field service or CRM software; prior experience with FieldRoutes, PestPac, ServiceTitan, or similar platforms is preferred
  • Strong phone presence and the ability to handle a high volume of customer interactions without losing warmth or attention to detail
  • Highly organized and dependable — you follow through, you keep records clean, and you know where everything stands at any given moment
  • Ability to manage competing priorities calmly; comfortable pivoting when schedules change or urgent issues arise
  • Clear, professional written and verbal communication skills
  • Proficient with standard office technology (Google Workspace, Microsoft Office, scheduling tools, and mobile apps)
  • A self-starter who can work independently and take ownership of the office function without constant direction

Salary:
$25.00
