Job Overview We are a residential remodeling and construction company seeking a highly organized Office Manager/Administrative Assistant to join our team. This role combines office management with administrative support, ensuring smooth daily operations and task management skills. The ideal candidate will be proactive, detail-oriented, and possess strong technical abilities to handle a variety of tasks efficiently. In this role, you will be the backbone of our office environment, fostering productivity and professionalism at every turn. Because this position interacts directly with our owners on a daily basis, we're looking for someone who is easy to work with, takes initiative, and has a positive attitude. Duties Manage daily office operations, including overseeing office supplies and maintenance to ensure an efficient work environment Serve as the first point of contact by greeting visitors and receiving deliveries Coordinate calendar management, scheduling appointments, meetings, and events to optimize team productivity as needed Prepare and maintain accurate records using spreadsheets and word processing software; perform data entry with precision Handle correspondence, emails, and client communication promptly and professionally Utilize QuickBooks for invoicing, expense tracking, and financial record-keeping to support accounting processes Utilize JobTread for project tracking, invoicing, and budgeting Organize filing systems—both digital and physical—to ensure easy retrieval of documents and compliance with record-keeping standards Provide vendor support by addressing inquiries, resolving issues efficiently, and maintaining excellent service standards Assist with clerical tasks such as proofreading documents, managing front desk duties, and supporting administrative projects as needed Support personal assistant responsibilities including travel arrangements, calendar management for executives, and task prioritization Skills Proficiency in Microsoft Office Suite (Word & Excel) along with productivity software for effective document creation and communication Strong organizational skills with the ability to multitask Excellent phone etiquette Bilingual abilities are highly desirable to serve diverse client needs effectively Technical proficiency in computer literacy including data entry, spreadsheets, filing systems, and general office management tools Prior experience with QuickBooks or similar accounting software is preferred for financial tasks Exceptional time management skills to prioritize tasks efficiently while maintaining accuracy Strong attention to detail for proofreading documents and ensuring high-quality output Customer service expertise with a friendly demeanor that fosters positive client interactions Personal assistant experience or background in front desk operations enhances overall performance in this role This position offers an exciting opportunity to develop your skills while supporting a professional office environment. $60,000.00 - $70,000.00 per year
