Job Description
Construction Office Administrator / Operations Coordinator - Electrical Contractor Elite Power Solutions has proudly served Palm Beach County since 2012, providing quality electrical services to residential and commercial customers. We are seeking an experienced Office Administrator / Operations Coordinator to become the primary administrative and operational support resource for our Lake Worth Beach office. This position is ideal for someone who takes pride in being the person everyone can count on—someone who is dependable, organized, resourceful, and committed to keeping a busy office running smoothly. As a small, established business, every member of our team plays an important role in our success. While our Controller provides accounting oversight remotely, this position serves as the primary on-site administrative support for our owner, project managers, warehouse staff, field electricians, customers, and vendors. Our office offers a balance of routine and variety. Many responsibilities are consistent from week to week, while priorities shift as customer needs and projects change. Some days are fast-paced, while others provide opportunities to stay organized, complete ongoing projects, and prepare for upcoming work. We're looking for someone who takes initiative, stays organized, and remains productive regardless of the pace of the day. Responsibilities Answer incoming phone calls and emails professionally. Schedule service calls and coordinate with customers and field personnel. Prepare work orders, service tickets, and job documentation. Process Time & Material billing. Enter Accounts Payable invoices and customer payments. Assist with payroll time entry and general accounting support. Prepare permit applications, Notices of Commencement, and related documents. Coordinate inspections and maintain contractor registrations and licensing. Maintain organized electronic and paper records. Order office supplies and assist with general office administration. Maintain or obtain a Florida Notary Public commission. Provide day-to-day administrative support to the owner, project managers, staff, and field personnel. Perform other related duties as assigned. Qualifications Minimum 3-5 years of administrative experience in a construction, electrical, HVAC, plumbing, or similar service-based office. Experience with Time & Material billing, Accounts Payable, customer payments, and supporting day to day office operations. Strong computer skills, including Microsoft Office and accounting software. Experience with QuickBooks Desktop Enterprise is preferred. (We will be transitioning to a new ERP/accounting system, so the ability to learn new software is essential.) Strong organizational, communication, and customer service skills. Ability to prioritize multiple responsibilities and work independently. Experience with permitting, contractor licensing, and municipal inspections is a plus. Demonstrates sound judgement and the ability to solve problems independently. Current Florida Notary Public or willingness to become one after hire. We're Looking For Someone Who... Is dependable with excellent attendance and punctuality .
