Job Description

Therapeutic Foundations is seeking an experienced, organized, and motivated Office Manager to oversee the daily administrative operations of our growing Applied Behavior Analysis (ABA) practice. This position requires an individual with prior ABA management experience who is knowledgeable in insurance processes, Medicaid regulations, and advanced Microsoft Excel functions. The ideal candidate will possess exceptional organizational, leadership, and communication skills and thrive in a fast-paced healthcare environment.

Full-Time Office Manager Schedule:
Monday-Friday Compensation:
$24.00-$27.00 per hour, based on experience Minimum Qualifications Minimum of 3-5years of office management experience in an ABA or behavioral healthcare setting (required). Working knowledge of ABA insurance authorizations, and billing, including Florida Medicaid and managed care organizations. Advanced proficiency in Microsoft Excel, including formulas, data analysis, spreadsheets, pivot tables, and reporting. Proficient in the use of standard office equipment, including multi-line phone systems, printers, scanners, copiers, and fax systems. Strong working knowledge of Microsoft Office Suite (Word, Outlook, Teams). Knowledge of Adobe Acrobat or Docusign Excellent organizational, time management, and problem-solving skills. Ability to manage multiple priorities while maintaining accuracy and confidentiality. Professional verbal and written communication skills. Preferred Qualifications Experience with ABA practice management software (e.g., Theralytics or similar platforms). Experience with staff scheduling and payroll coordination. Knowledge of AHCA regulations and Medicaid compliance. Essential Responsibilities Manage the day-to-day operations of the office. Supervise and support administrative staff. Oversee client intake, scheduling, and office workflow. Monitor insurance authorizations, referrals, and credentialing processes. Coordinate with billing personnel to ensure timely claim submission and resolution of billing issues. Maintain and analyze reports using Microsoft Excel. Track key performance indicators and prepare administrative reports. Ensure compliance with agency policies, AHCA regulations, and payer requirements. Assist with payroll preparation and employee documentation. Maintain client and employee records and ensure HIPAA compliance, Medicaid, AHCA, BACB documentation standards and payer requirements. Communicate professionally with families, providers, insurance companies, and staff. Support leadership with operational planning and special projects.
