Job Description
Office Manager The Office Manager is responsible for managing the day-to-day administrative and operational activities of the practice in Pensacola, FL . This role collaborates closely with the doctors and leadership team to optimize practice efficiency, enhance the patient experience, lead and support staff, and utilize practice data to drive growth and profitability. The Office Manager oversees the Cloud 9 workflow system, implements new systems, and promotes a positive, team-first culture focused on exceptional patient care. Job Responsibilities Organize and coordinate daily office operations for maximum effectiveness and efficiency. Develop and enforce office policies, workflows, and accountability standards. Lead practice meetings, keep leadership informed on operational matters, and support practice goals . Oversee appointment scheduling, ensuring optimal patient flow and utilization of resources. Manage and serve as the primary owner of Cloud 9 Ortho system workflows and data accuracy. Assist with CRM and communication system implementation, including lead management and follow-up processes. Monitor practice KPIs and report key performance metrics regularly, recommending improvements. Support profit-sharing and team incentive systems, maintaining transparent and accurate data. Oversee financial and administrative functions, including billing, collections, and reports. Assist with recruiting, onboarding, training, and team development efforts. Respond to patient relations, support marketing initiatives, and foster long-term referral relationships. Ensure compliance with HIPAA, OSHA, and practice policies; maintain office standards and confidentiality. Drive operational improvements, staff accountability, and a positive team culture. Qualifications Prior practice management or administrative leadership experience preferred. Strong scheduling, customer service, leadership, and organizational skills. Proficiency with Cloud 9 Ortho, CRM, KPI platforms, and technology systems; ability to learn quickly. Analytical skills to interpret data and support operational decisions. Excellent communication, attention to detail, and follow-through. Servant-leader/team-first mentality with high emotional intelligence and solutions-oriented mindset.
