Job Description
Job Responsibilities:
Screens potential employee's resumes and/or job applications. Calls and schedules interviews. Works closely with the Executive Director to review potential candidates, interviewing, and making job offers. Completes Orientation 1 with new employees, organizes forms to be completed, and updating forms as necessary. Oversees completion of new employee personnel files and maintenance of the personal files including but not limited to, faxing off I-9s, entering into Procare, and overseeing that background checks and pre-employment drug screening have been satisfactorily passed and processed. Aids in managing daily staffing of the programs i.e. receives phone calls/texts of employees who call in via our job line, schedules substitutes when employees call in, and communicates clearly with program staff. Oversees employees' schedules and communicates clearly with staff regarding employee scheduling and timecards and reviews payroll for the Executive Director . Annually updates Employee Handbook, Calendar, Admin Calendar, and other administrative documents. Annually updates the Customer Account and Employee Schedules section of our Director Handbook Assembles RSVP to events such as upcoming training workshops, seasonal celebrations, and team building exercises and gatherings. Oversees the nomination and award process for Employee of the Month . Contributes to the successful assembly and distribution of the internal staff newsletter. Oversee uniform procurement, storage, and issuance, maintaining accurate inventory records, stock rotation, and supply replenishment to meet employee needs while minimizing shortages. Oversees and performs official notarial acts when onboarding employees. Completes employee verifications. Willingness to serve occasionally in a substitute capacity to ensure continuous classroom coverage during staff absences. Talks to families about their account balance, ways to pay, tax statement summaries, etc. Invoices customer accounts. Works closely with Administrative Assistant to understand invoiced accounts and family situations. Trains and communicates with Site Directors and the Administrative Assistant to ensure they understand clients who owe a balance and how to resolve it.Completes FSA No-Wait Reimbursement Forms Qualifications:
Bachelor's degree (4-year) in business administration, management, or office administration. DCF Child Care 40-hour Training Certification, preferred Experience with ProCare software preferred Certified Notary, preferred CPR & First Aid Certification, preferred Minimum of 2 years' experience working with children, preferred Moves equipment weighing up to 50 pounds Positions self to install equipment, including under desks Must be able to remain in a stationary position during shift Moves throughout the building to access files Pass a Level II Background Screening Pass Pre-employment Drug Test Valid Driver's License Mastery of MS Office Suite, Google, and office equipment. Proven ability to manage records, scheduling, and office workflows. Ability to supervise staff, manage community partners, communicate clearing with customers, and oversee and respond to staffing needs . Strong written and verbal communication skills.Compensation and Benefits:
For this position, you will be paid $60-65k/year, depending on experience Monday - Friday, 9:00 am to 6:00 pm Direct Hire position This position requires infrequent travel to local programs, district office, bank, post office, store, etc. typically 1-5 times a month within a 50-mile radius.
