In this role, you will manage office operations related to our service technicians while ensuring efficient workflows, compliance, and superior service. You will play a crucial role in coordinating with our schedulers and technicians, tracking operational metrics, and maintaining internal processes to uphold our commitment to safety, quality, and customer satisfaction.
Key Responsibilities:
Oversee the tracking and prevention of reschedules and proactively resolve incoming service issues. Identify and implement process improvements to enhance operational efficiency. Collaborate with management to develop best practices and continuous improvement strategies. Handle office staff call-outs and attendance. Maintain and update the office staff and oversee performance management. Ensure cross-training of office staff to support other departments as needed. Supervise administrative personnel, providing guidance and support to ensure productivity and accuracy. Conduct regular team meetings to align on goals, priorities, and operational updates. Ensure accurate and timely record-keeping of job completion, invoices, and compliance documentation. Prepare and distribute internal communications, reports, and operational updates. Support customer inquiries and ensure prompt and professional resolution of issues. Follow up on customer feedback and implement improvements where necessary.
Qualifications:
Proven experience in office management, preferably in the service industry. Strong organizational, analytical, and problem-solving skills. Excellent communication and interpersonal abilities. Proficiency in office software (e.g., MS Office Suite) and scheduling systems. Ability to multitask, prioritize, and adapt to changing demands.
