The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to juggle multiple responsibilities seamlessly. Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems to handle incoming calls efficiently, transferring or taking messages as needed. Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications, ensuring easy retrieval of documents. Perform data entry tasks accurately using computer skills such as typing, proofreading, and record keeping for various administrative functions. Schedule appointments, manage calendars, and coordinate meetings to optimize time management for staff and executives. Handle bookkeeping responsibilities using QuickBooks or similar accounting software to track expenses and process invoices. Support office management activities including supply ordering, maintaining office equipment, and overseeing general administrative procedures. Provide customer support by addressing inquiries promptly and professionally, whether in person or via phone or email. Assist with clerical duties such as filing, photocopying, scanning documents, and preparing correspondence. Contribute to a positive office environment by maintaining cleanliness, organization, and efficient workflow. Experience Proven experience in an office environment with strong clerical skills and familiarity with office management practices. Prior experience working at a front desk or as a receptionist in medical or dental settings is highly desirable. Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools. Experience handling multi-line phone systems and practicing excellent phone etiquette. Bilingual abilities are a plus to effectively communicate with diverse clients and team members. Knowledge of bookkeeping software such as QuickBooks is preferred. Strong organizational skills with the ability to prioritize tasks efficiently while managing multiple responsibilities simultaneously.
