Job Description

Job Summary We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is vital in ensuring smooth administrative workflows, exceptional customer service, and efficient office management. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to support our team and clients effectively. As an Office Manager, you will oversee administrative functions, manage front desk operations, coordinate schedules, and maintain a welcoming and professional atmosphere for all visitors and staff. Duties Manage front desk activities including greeting visitors, answering multi-line phone systems, and providing excellent customer service with proper phone etiquette Oversee office supplies inventory, procurement, and filing systems to ensure operational efficiency Coordinate calendar management, appointment scheduling, and meeting arrangements using Microsoft Office and Google Workspace tools Perform data entry, bookkeeping, and basic accounting tasks utilizing QuickBooks or similar software to support financial accuracy Supervise clerical staff and delegate administrative tasks such as proofreading, document preparation, and record keeping Maintain organized filing systems—both digital and physical—and ensure confidentiality of sensitive information Support personal assistant duties including travel arrangements, calendar management for executives, and other administrative support as needed Experience Proven experience in office management or administrative roles with a strong background in clerical work and customer service Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and data entry platforms Prior experience handling multi-line phone systems, phone etiquette, and front desk operations in a fast-paced environment Bilingual abilities are highly preferred to effectively communicate with diverse clients and team members Knowledge of bookkeeping practices using QuickBooks or similar accounting software is needed Strong organizational skills with the ability to multitask efficiently while managing time effectively Join us to be part of an energetic team dedicated to creating an organized, welcoming workspace where excellence in office management drives success!
