Job Description
Job Summary We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of a thriving real estate company. This pivotal role involves managing administrative functions, supervising staff, coordinating vendor relationships, and ensuring the smooth functioning of the office environment. The ideal candidate will bring enthusiasm, exceptional organizational skills, and a proactive attitude to support our team's success. You will play a key role in maintaining efficient office workflows, handling confidential information with integrity, and fostering a positive workplace culture that drives productivity and growth. This position requires at least two years of recent office management, real estate administration, or comparable operations experience. Prior experience supporting a residential real estate brokerage is strongly preferred. This is a full-time, in-office position in Sarasota, Florida. Due to the collaborative nature of this role, we are focusing on candidates who already live in the Sarasota area. We are not considering applicants who would require relocation or a lengthy daily commute. We're looking for a proactive, organized, and service-minded Office Manager who can lead day-to-day office operations, support our agents and staff, and create a professional, welcoming workplace where people and systems run smoothly. This position serves as the operational hub of the office and works closely with the brokerage leadership and sales team. The ideal candidate is a confident problem-solver who takes ownership, communicates clearly, improves processes, and enjoys helping others succeed. Responsibilities
- Oversee daily office operations and maintain an organized, professional, and welcoming environment.
- Serve as the primary point of contact for agents, staff, clients, visitors, vendors, and deliveries.
- Coordinate administrative workflows, calendars, meetings, training sessions, and office events.
- Manage new-agent onboarding and offboarding, including paperwork, technology access, orientation, and office procedures.
- Maintain office policies, procedures, internal checklists, digital files, and confidential records.
- Manage office supplies, equipment, facilities needs, and vendor relationships; track invoices and routine expenses.
- Maintain accurate information across office systems and CRM platforms and help the team use technology consistently.
- Provide administrative and project support to the brokerage leadership.
- Partner with agents to efficiently manage transactions, listings, and marketing
- Identify workflow gaps, recommend practical improvements, and follow through on implementation.
- Handle sensitive information with professionalism, discretion, and sound judgment. Qualifications
- Two or more years of office management, real estate administration, or comparable operations experience.
- Residential real estate brokerage experience is strongly preferred.
- Demonstrated leadership and team-support skills.
- Exceptional organization, attention to detail, follow-through, and time management.
- Strong written, verbal, and interpersonal communication skills.
- Professional, positive, and service-oriented approach with the confidence to address issues directly.
- Ability to prioritize competing demands and remain composed in a fast-paced environment.
- Strong problem-solving skills and a commitment to improving systems and processes.
- Proficiency with Microsoft Office; familiarity with CRM and real estate platforms is a plus.
