This role is essential in ensuring smooth administrative processes, maintaining accurate records, and assisting with project coordination. The ideal candidate thrives in a fast-paced environment, has strong communication skills, and can efficiently manage multiple tasks. Key Responsibilities Contract Administration Prepare, review, and track contracts and service agreements. Ensure all contracts are properly signed, documented, and stored. Maintain compliance with contract terms and deadlines. Communicate with clients, vendors, and internal teams regarding contract updates. Data Management Organize and maintain digital and physical records of contracts, bids, and client data. Enter, update, and verify accuracy of data in company software (e.g., CRM, project management tools). Generate reports and track key business metrics as needed. Bid Follow-Up & Project Coordination Track bid submissions and follow up with clients or general contractors. Communicate with prospective clients regarding project updates and required documentation. Assist with preparing bid documents, proposals, and related administrative paperwork. Maintain a schedule of bid deadlines and required actions.
Required Skills & Qualifications Experience:
3+ years in administrative, contract management, or office support roles (experience in construction, home services, or contracting industry preferred).
Technical Skills:
Proficient in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and CRM/project management software. Organization & Attention to
Detail:
Ability to manage multiple contracts, bids, and documents with accuracy.
Communication Skills:
Strong written and verbal communication for professional interactions with clients and team members.
Problem-Solving:
Ability to troubleshoot issues, stay proactive, and manage deadlines effectively.
Confidentiality:
Ability to handle sensitive business and client information with discretion.
Preferred Qualifications:
Experience with contract administration, bid tracking, or procurement processes. Knowledge of local and state compliance requirements for contracting businesses.
