Job Description

Position Overview REJUVA Dermatology, Vein & Cosmetic Center is seeking a highly organized, proactive, and results-driven Office Manager to oversee daily operations of a fast-paced, multi-specialty medical practice. This leadership role requires a professional who can manage clinical and administrative teams, ensure operational efficiency, maintain exceptional patient experience, and support revenue growth across medical Dermatology, cosmetic services, vein treatments, and cash-based programs. The Office Manager will supervise all operational departments, work closely with physicians and leadership, and ensure the practice functions efficiently while maintaining high clinical and service standards. Key ResponsibilitiesPractice Operations & Leadership Oversee the daily operations of the entire medical practice , ensuring efficient workflow and optimal patient experience. Supervise and coordinate activities across departments including: Front desk / patient services Medical assistants Cosmetic services team Call center and scheduling staff Conduct regular team meetings with front desk and clinical staff to review workflow, performance metrics, and operational improvements. Develop and implement office policies, procedures, and operational protocols . Ensure compliance with HIPAA, OSHA, and healthcare regulatory standards . Monitor clinic flow and identify opportunities to improve efficiency, patient throughput, and service quality . Serve as a liaison between physicians, staff, and administration. Staff Supervision & Team Development Hire, train, and supervise administrative and clinical support staff. Provide leadership, coaching, and performance management. Conduct employee evaluations and address performance issues when necessary. Foster a positive, professional, and patient-focused culture . Ensure proper staffing coverage and manage schedules for operational efficiency. Patient Experience & Clinical Coordination Ensure high standards of patient care and service throughout the practice . Assist in managing patient flow and resolving patient concerns or escalated service issues. Work closely with medical assistants and front desk staff to optimize: Patient check-in and check-out processes Clinical workflow Appointment scheduling Participate in direct patient care coordination when needed to maintain efficient clinic operations. Cosmetic Consultations & Sales Support Participate in cosmetic consultations and treatment planning discussions when appropriate. Assist in guiding patients through treatment options and pricing structures. Support sales of cosmetic and elective services including: Laser treatments Injectables Skin rejuvenation procedures Weight loss programs Hair restoration services Train staff on effective patient education and service presentation . Financial & Administrative Management Monitor practice financial performance and operational metrics.
Assist with:
Budget oversight Expense management Revenue optimization Review daily reports including: Patient volume Scheduling efficiency Revenue production Work with billing and administrative teams to improve collections and financial performance . Scheduling & Workflow Optimization Oversee patient scheduling systems to maximize provider productivity. Ensure efficient coordination between medical, cosmetic, and surgical schedules. Identify scheduling gaps and optimize appointment utilization. Compliance & Quality Assurance Maintain compliance with all healthcare regulations and standards. Implement and enforce practice policies related to: Patient privacy Workplace safety Infection control protocols Monitor charting and documentation workflows in collaboration with clinical staff. Marketing & Practice Growth Support Support implementation of internal marketing initiatives and promotions. Assist with cosmetic program growth through patient education and consultation coordination. Monitor patient satisfaction and online reputation metrics. QualificationsRequired Minimum 2 years experience as a medical office manager or practice manager Experience managing staff in a medical or healthcare practice Strong leadership, organizational, and communication skills Experience supervising front desk and clinical teams Ability to multitask and manage a fast-paced environment Preferred Experience in Dermatology, cosmetic medicine, or multi-specialty medical practices Background in cosmetic consultation or medical aesthetics sales Familiarity with EHR systems and practice management software Experience managing insurance workflows and billing coordination Skills & Competencies Strong leadership and team management ability Excellent communication and conflict resolution skills High level of organization and attention to detail Ability to manage multiple departments simultaneously Strong patient service mindset Sales awareness and ability to support cosmetic service growth Benefits Competitive salary ($60,000 - $80,000 depending on experience) Opportunity for professional growth within a dynamic medical practice Supportive team environment Exposure to advanced Dermatology, cosmetic, and vein treatments About REJUVA Dermatology, Vein & Cosmetic Center REJUVA is a multi-specialty practice offering comprehensive services in medical Dermatology, cosmetic procedures, vein treatments, hair restoration, and physician-supervised weight loss programs .
