Job Description:
Executive Assistant / Office Manager For over 20 years, McNicholas & Associates has provided public relations and public affairs leadership for some of Florida's most influential businesses and organizations. We are seeking a highly organized and proactive Executive Assistant / Office Manager to support the President and help oversee day-to-day operations for a collaborative team environment. This role is ideal for someone who thrives in a fast-paced office, can manage multiple priorities with professionalism and discretion, and enjoys supporting both executive leadership and internal team operations.

Palm Beach Gardens, Florida Job Responsibilities:
Provide executive-level administrative support primarily to the President Manage calendars, scheduling, meetings, travel arrangements, and correspondence Support office operations and administrative needs for a staff of 12 employees Coordinate internal meetings, office logistics, and team communications Prepare presentations, reports, documents, and meeting materials Serve as a point of contact for vendors, visitors, and external partners Assist with onboarding coordination and employee administrative support Manage office supplies, inventory, and general office organization Coordinate occasional office events, lunches, and team activities Requirements and skills: Previous experience as an Executive Assistant, Office Manager, Administrative Coordinator, or similar role Strong organizational and multitasking abilities with exceptional attention to detail Excellent written and verbal communication skills Ability to prioritize tasks and manage competing deadlines in a fast-paced environment Professional demeanor and strong interpersonal skills Proficiency in Microsoft Office, Outlook, Zoom, and general office technology Experience supporting executives and small teams preferred Ability to work independently while also collaborating effectively with internal staff Familiarity with public affairs, communications, or agency environments is a plus
