Job Description

We are seeking a friendly, organized, and professional Office Administrator to join our chiropractic, rehabilitation, and wellness clinic. This role is an important part of the patient experience, serving as the first point of contact for patients while helping ensure the office runs smoothly each day. The ideal candidate is warm, detail-oriented, dependable, and comfortable working in a fast-paced healthcare environment. This position requires strong communication skills, excellent customer service, and the ability to manage front desk and administrative responsibilities with accuracy and care. Key Responsibilities Greet and welcome patients in a professional, friendly, and compassionate manner. Manage front desk operations, including answering phone calls, responding to appointment requests, scheduling visits, and checking patients in and out. Assist patients with intake forms, appointment reminders, follow-up scheduling, and general questions about clinic services. Accurately enter and update patient information in the clinic's patient management software. Support scheduling for chiropractic adjustments, rehabilitation appointments, wellness visits, consultations, and follow-up care. Maintain provider calendars and help coordinate patient flow throughout the day. Communicate clearly with chiropractors, rehab staff, wellness providers, and other team members to support efficient clinic operations. Assist with administrative duties such as filing, scanning, record keeping, data entry, and maintaining organized patient documentation. Help ensure patient information is handled with professionalism, discretion, and confidentiality. Maintain a clean, organized, and welcoming front desk, reception area, and patient waiting area. Support office management tasks such as ordering supplies, organizing paperwork, and assisting with daily operational needs. Provide excellent customer service to patients seeking chiropractic care, rehabilitation services, wellness support, and ongoing treatment plans. Assist with patient check-out, payment collection, appointment scheduling, and care plan coordination as needed. Qualifications Previous experience in an administrative, front desk, receptionist, or office support role is required. Experience in a chiropractic, rehabilitation, wellness, medical, or healthcare office is strongly preferred. Strong computer skills and the ability to learn patient management or scheduling software. Excellent verbal and written communication skills. Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities. High attention to detail and accuracy, especially when handling patient information and scheduling. Friendly, professional, and patient-focused demeanor. Ability to multitask in a busy clinic environment while maintaining a calm and courteous attitude. Dependable, punctual, and able to work independently as well as part of a team. Flexibility to work various shifts as needed during clinic operating hours. Preferred Skills Familiarity with chiropractic or rehabilitation clinic workflows. Experience with patient scheduling, intake forms, treatment plan scheduling, or appointment follow-ups. Basic understanding of patient privacy and confidentiality standards. Comfort communicating with patients who may be in pain, recovering from injuries, or seeking long-term wellness care. Experience collecting payments, verifying appointments, or supporting front desk operations in a healthcare setting. Work Environment This position is based in a patient-focused chiropractic, rehab, and wellness clinic.
