SERVPRO of Winter Park is hiring an Office Manager! As Office Manager, you will manage, train, lead, and motivate the office team while playing a key role across our office processes. What You'll Do Manage the office team, including Job File Coordinators and Administrative Assistants. Maintain a professional office culture and coordinate interdepartmental communication and activities. Ensure delivery of appropriate training and onboarding to all office personnel; plan and facilitate monthly team meetings. Facilitate completion of mid-year and annual employee reviews. Monitor National Accounts program compliance and manage subcontractor certifications, insurance, and documentation. Manage and maintain local and SERVPRO compliance information for the Storm Program. Oversee franchise compensation/payroll and the staffing plan. Manage and disposition lead sources. Complete daily bookkeeping; prepare and analyze financial reports, including divisional performance. Manage Accounts Payable, Accounts Receivable, and cash flow. Monitor federal/state compliance and risk-management training completion. Act as the subject matter expert for office-related technology and processes. Ensure employment files and records are accurate and complete. Complete the application process for Preferred Vendor programs. Establish processes so office Key Performance Metrics (KPMs) meet franchise goals/targets. Process payroll and ensure timely submission of Royalty Reports. Develop and maintain the office division annual plan and manage performance. Handle and resolve customer complaints, with a goal of resolution within 5 business days. Manage the company calendar and the on-call/staffing schedule. Order and manage office supplies, equipment, and inventory. Coordinate facilities and vendors, including the building, utilities, equipment service, and phones/internet. Oversee front-desk and phone coverage, mail, and shipping. Coordinate IT and software needs, including accounts, licenses, and equipment for new hires. Track PTO, timekeeping, and employee schedules. Manage petty cash, expense reports, and company credit card reconciliation. Assist the Senior Leadership Team and perform other duties as assigned. What We're Looking ForRequired 5+ years of office, accounting, or customer service management experience. Proven leadership skills with experience building a strong team.
Outstanding written and verbal communication:
proper grammar, clear pronunciation, and a consistently courteous, professional tone. Self-motivated and goal-oriented with the ability to multi-task in a fast-paced, team-oriented environment. Strong organizational and planning skills with attention to detail. Proficiency in Microsoft Office and QuickBooks (or equivalent accounting software); ability to learn new and proprietary software. High school diploma/GED (college degree preferred). Ability to successfully complete a background check, subject to applicable law. Strongly Preferred Prior experience in the restoration industry, especially with a SERVPRO franchise. Preferred (Not Required) Bilingual in English and Spanish. Familiarity with the Contractor Connection program. Experience with WorkCenter 2.0, Xactimate, or DryBook. IICRC or Xactimate certifications. Construction management experience. Customer service industry experience. Compensation & Benefits Pay starts at $26-$34 per hour based on experience, with the possibility of overtime pay. Competitive compensation and superior benefits. Working hours are 8:00 a.m. to 5:00 p.m., Monday through Friday, with a 40-hour-per-week minimum. The role is primarily sedentary; some filing is required, which may involve lifting files, opening filing cabinets, and bending or standing as necessary.
