Personal Injury Case Manager & Office Manager The LaMarr Firm, PLLC—a nationally recognized personal injury and civil rights law firm—is actively seeking a seasoned Personal Injury Case/Office Manager & Office Manager to join our team. This full-time position is ideal for a high-performing professional who can seamlessly manage 100+ active personal injury cases while also overseeing key administrative operations and office policies . This dual-role position requires exceptional organizational skills, initiative, and leadership. The ideal candidate will be experienced in pre-litigation case management , skilled in team coordination , and able to create and enforce internal procedures that promote operational excellence across the firm. Key ResponsibilitiesCase Management Duties Manage a high-volume caseload of 100+ pre-litigation personal injury cases from intake to settlement. Maintain consistent, professional communication with clients regarding case updates and treatment status. Coordinate medical treatment schedules and ensure timely completion of care. Gather and organize medical records, bills, police reports, and all necessary documentation. Evaluate case readiness for demand and facilitate settlement discussions with attorneys. Identify and resolve case-related issues independently, escalating only when necessary. Provide oversight and mentorship to junior case managers and assist with stalled or complex files. Contribute to the creation and refinement of case workflows, SOPs, and performance benchmarks . Collaborate with attorneys, intake, and support staff to ensure seamless transitions and efficient case handling. Office Management Duties Oversee day-to-day virtual office operations to ensure efficiency and policy compliance. Develop, implement, and maintain office policies and standard operating procedures . Manage and sort physical and electronic mail , ensuring prompt routing to the appropriate personnel. Monitor and coordinate intake process to ensure timely response and accurate client onboarding. Serve as the firm's internal point of contact for administrative matters, systems, and compliance. Ensure accurate documentation of all internal processes and policy changes. Support onboarding and training for new team members on firm policies, case protocols, and software. Assist with vendor coordination, subscriptions, and technology platforms used by the firm. Required Qualifications Minimum 5 years of experience in personal injury case management (pre-litigation focus). Proven track record of managing 100+ active cases simultaneously. Prior experience in an Office Manager, Team Lead, or Administrative Coordinator role. Demonstrated ability to lead and mentor junior staff and implement internal procedures. Prior remote work experience strongly preferred. Strong problem-solving, initiative, and independent decision-making skills. Excellent written and verbal communication. Familiarity with case management software (e.g., CasePeer, SmartAdvocate, Filevine, Clio). Proficiency in Microsoft Office and/or Google Workspace . Highly organized, detail-oriented, and deadline-driven. Bilingual in Spanish is a plus, but not required.
