Position Overview Construction Ready is seeking an Office Administrator who is not only organized and efficient but also embodies a positive, team-oriented attitude. The ideal candidate will be someone who can adapt to the dynamic needs of our growing organization, manage multiple tasks with ease, and contribute to a collaborative and supportive work environment. We are looking for someone who can streamline our office operations while maintaining a strong focus on fostering a positive workplace culture and supporting our mission to impact the next generation of construction professionals. Key Responsibilities Administrative Support Facility Management HR Support Financial Responsibilities Event Planning & Preparation Cross Department Communication and Coordination Problem-Solving Maintain Master Calendar Responsibility Details Team Event Administrative Support Coordinate purchases for team members when needed, support management of team calendars, and accommodations for in office meetings for staff or executives. Support coordination of in-office events and external events, including meetings, workshops, and training events. Prepare materials
  • agendas, nameplates, training materials Arrange travel and accommodations for staff when requested Manage organization-wide ordering and procurement
  • coordinating purchase requests across departments and programs, not just office supplies.
Handle incoming and outgoing communication (with proper oversight) including notices/mail, emails, letters, and phone calls. Support Team programming needs when required including set up, take down, and shipping Support leadership on review and enforcement of office policies etc. Ensure compliance with regulations and communicate policies to staff. Accounting/HR Support Supporting accounting team and functions in quickbooks, including A/R and coordination of donor mailing and statement processing. Support the process of new employee onboarding including distributing company owned assets, providing access to technology and resources, and guiding new hires through their first days. Support employee offboarding
  • coordinating exit checklists, retrieving company property and access.
Support maintaining accurate employee records. Track and manage organizational assets including maintaining office inventory of equipment, technology, and supplies, and ensuring items are accounted for and in good condition. Coordinate with IT for the onboarding/offboarding and maintenance of office technology and ensure software is up-to-date (e.g., website revisions, setting up staff in Google Workspace). Assist staff with basic IT troubleshooting and ensure they have access to necessary tools when onboarding/offboarding. Office Management Serve as the main point of contact for the facility
  • managing access, greeting visitors and vendors, and handling day-to-day facility needs as they come up.
Receive, sort, and distribute all incoming mail and packages, tracking deliveries and notifying recipients promptly. Liaise with vendors and service providers for office-related services (e.g., cleaning, catering, security). Oversee the office space and ensure it is clean, well-stocked, and well-maintained. Manage office supplies, ensuring the office is well-stocked and organized. Problem-Solving Address team and office-related issues promptly and effectively. Suggest and implement improvements to office procedures and workflows (if approved) Required Skills and Qualifications Proven experience as an Office Administrator, Office Manager, or in a similar administrative role. Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously. Experience with quickbooks online. Excellent communication skills, both written and verbal, with the ability to interact professionally with all levels of staff and external partners. Comfortable multi-tasking and interfacing with team members, staff at all levels, and higher-level Board members, as this may be required. Proficiency in office management software and tools (e.g. Google Workspace). Experience in budgeting, financial management, and invoice processing. Familiarity with HR processes, including onboarding, offboarding. Experience with asset/inventory management and organizational purchasing or procurement processes. High level of attention to detail and accuracy required
