Job Description
We are looking for an organized Office Manager to support daily operations for a team based in Augusta, Maine. This Long-term Contract position will oversee core administrative and financial activities, help keep office workflows running smoothly, and provide dependable support for time-sensitive business needs. The ideal candidate brings strong attention to detail, comfort with accounting-related tasks, and the ability to manage multiple priorities in a well-organized office environment.
Responsibilities:
- Manage day-to-day office operations, ensuring administrative processes are handled accurately and on schedule.
- Oversee incoming and outgoing payments, including preparing disbursements, coordinating signatures, and sending completed checks.
- Record financial activity, prepare bank deposits, and maintain accurate bookkeeping records in QuickBooks Online.
- Collect, sort, and distribute mail while handling routine correspondence and general office support tasks.
- Process weekly payroll by established deadlines and maintain organized records related to employee compensation.
- Monitor office inventory levels and arrange for materials and supplies so staff have what they need to work efficiently.
- Use internal labor tracking and payroll-related systems to support reporting and administrative coordination.
- Assist with periodic administrative projects, such as event-related arrangements, registration tracking, enrollments, and data entry or database updates.
- Handle recurring monthly duties, including pension-related payments and other scheduled administrative deadlines.
