Office Manager The Office Manager provides administrative oversight of the medical clinic, including management of support staff, productivity issues, operational issues, regulatory requirements and patient and provider relations. The Office Manager is responsible for the overall smooth running of the clinic in conjunction with the Medical Director and ensuring that clinic goals and objectives are met on a daily, weekly, quarterly, and annual basis.
Key Responsibilities:
Essential Functions Demonstrates, through behavior, Center for Primary Care's Mission Statement. Oversees all aspects of day-to-day operations of the medical clinic to ensure compliance with regulatory requirements and departmental policies/procedures in coordination with the Medical Director. Partners with human resources while performing annual evaluations, quarterly incentives, and recruitment of new hires of office staff. Assist Center for Primary Care management team in development of policies and procedures for staff. Provides training for office staff as needed. Works with students from local schools when scheduled for externship hours. Completes evaluation and communicates with the program directors as needed. Assures clinic is open and appropriately staffed during regularly scheduled hours and special events and that all facilities and equipment are available, operational, safe, and clean. Select, train, supervise, and monitor quality and production levels of office staff. Develop staff schedules, review timecards, and approve time off for office staff. Prepare and organize monthly staff meetings for entire office staff. Oversees the equipment management process to ensure that all clinical and non-clinical equipment is properly maintained and repaired as needed; ensures that all equipment-related activities are properly documented. Communicates effectively to the patient at his/her level of understanding. Always maintain patient confidentiality; adhere to HIPAA guidelines. Identify community marketing opportunities and engage staff in various marketing opportunities. Ensures smooth patient flow throughout the office by assisting in other areas when needed or as requested. Communicate effectively by telephone and to the patient at his/her level of understanding. Promotes positive public relations to patients, visitors, families, physicians, and others. Exhibits characteristics consistent with CPC values for quality, respect, teamwork, and pride. Physical appearance and conduct are consistent with acceptable professional ethics and CPC standards. Performs miscellaneous job-related duties as assigned. All essential functions must be performed. Success:
Education:
High School Diploma or GED required. Associates degree required.
Licensure, Certification, or Registration:
Certified Medical Assistant Certification preferred.
Experience:
5+ years of experience in a clinical setting. Knowledgeable of electronic medical record system and Laboratory Information Systems. Ability to identify emergent medical situations. Ability to effectively function in a fast-paced, time-sensitive work environment. Capable of managing several tasks simultaneously. Ability to work independently and in a team environment. Effective verbal and written communication skills.
