Job Description
Job Summary Hernandez Roofing & Construction is seeking an experienced Office Manager to oversee the daily administrative operations of our growing roofing company. This position serves as the company's primary administrative leader and is responsible for coordinating office operations, customer communication, scheduling, insurance claim administration, JobNimbus management, and administrative processes. The Office Manager serves as the central point of coordination between ownership, sales, production, inspectors, customers, and insurance companies. The ideal candidate will have roofing industry experience, working knowledge of Xactimate, excellent organizational skills, and the ability to improve office processes while delivering exceptional customer service. Responsibilities Oversee all daily office operations and administrative workflow. Serve as the primary administrator for JobNimbus, maintaining customer records, workflows, automations, dashboards, and CRM accuracy. Coordinate customer communication by phone, email, and text while providing exceptional customer service throughout every project. Track insurance claims, maintain documentation, coordinate adjuster appointments, and monitor claim progress. Schedule inspections, customer appointments, production activities, and company meetings. Coordinate communication between ownership, sales, inspectors, production staff, customers, and insurance companies. Develop, implement, and improve office procedures and administrative processes. Prepare reports related to scheduling, customer communication, insurance claims, CRM performance, and key performance indicators (KPIs). Maintain accurate customer files and ensure all required documentation is completed. Assist with employee onboarding, training documentation, and administrative support as the company continues to grow. Identify opportunities to improve efficiency and recommend process improvements that support long-term company growth. QualificationsRequired Previous office management or administrative leadership experience. Roofing industry experience. Working knowledge of Xactimate. Excellent organizational and time management skills. Strong customer service and communication skills. Proficiency with Microsoft Office (Word, Excel, Outlook). Strong computer skills with the ability to learn new software quickly. Ability to multitask and prioritize in a fast-paced environment. Professional demeanor with exceptional attention to detail. Strong problem-solving and decision-making abilities. Preferred JobNimbus experience. Insurance claims administration experience. Construction office experience. Bilingual (English/Spanish).
