Job Overview We are seeking a dynamic and highly organized Office Manager/Administrator to lead the daily operations of our office environment. This pivotal role involves overseeing administrative functions, managing vendor relationships, coordinating schedules, and supporting team members to ensure a smooth and efficient workplace. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating a productive office atmosphere. Responsibilities Manage day-to-day office operations, including front desk duties, filing systems, and multi-line phone systems to ensure seamless communication. Coordinate and schedule meetings, appointments, and events while managing calendars for multiple team members. Supervise administrative staff and provide training and development to foster a motivated and efficient team. Oversee vendor management by negotiating contracts, processing invoices, and maintaining strong professional relationships with suppliers. Handle bookkeeping tasks such as payroll processing, budgeting, financial recordkeeping, and using accounting software like QuickBooks or other financial software tools. Support human resources functions including onboarding new employees, maintaining confidential personnel files, and assisting with employee relations. Maintain accurate records through filing systems, spreadsheets, and data entry to support office efficiency and compliance with confidentiality standards. Skills Proven experience in office management or administrative roles with strong clerical skills. Demonstrated supervisory experience with the ability to lead and motivate a team effectively. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with advanced spreadsheet skills for budgeting and data analysis. Familiarity with accounting software such as QuickBooks or similar financial tools; experience with bookkeeping and financial reporting is highly desirable. Excellent communication skills—both verbal and written—with the ability to handle client interactions professionally via phone or email. Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment. Experience in event planning and coordinating logistics for meetings or company functions. Knowledge of human resources processes including payroll management, employee onboarding, and confidentiality handling. Technical proficiency in managing office equipment such as multi-line phones, printers, and other office technology.
