Job Description

Overview We are seeking a dynamic, highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office. This role is vital in maintaining an efficient workspace, supporting team members, and managing essential office functions. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for creating a welcoming and productive office atmosphere.   • Answer phones promptly and professionally and route calls to the proper person.
  • Manage daily office email communication and respond or route items in a timely manner.
  • Issue purchase orders accurately and on time.
  • Enter receipts and maintain organized supporting documentation.
  • Support assigned QuickBooks-related administrative tasks and payment processing support.
  • Maintain organized physical and digital filing systems so records are complete, current, and easy to retrieve.
  • Maintain accurate inventory records and administrative support records as assigned.
  • Generate and track work orders for the mechanic and service functions.
  • Keep Manager Plus entries accurate and current.
  • Coordinate new-hire paperwork, onboarding checklists, orientation materials, and employee file setup for assigned Macon hires.
  • Maintain current employee records, policy acknowledgments, and required administrative compliance files.
  • Track office supplies, monitor office equipment needs, and help maintain an orderly and professional office environment.
Requirements Proven experience in office management or administrative roles with strong organizational skills. Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools. Experience with QuickBooks or bookkeeping software is highly desirable. Excellent communication skills in English; bilingual abilities are a plus. Strong multitasking ability with effective time management skills to prioritize tasks efficiently. Previous experience working as a receptionist or medical/dental receptionist is advantageous. Demonstrated ability to handle clerical tasks such as proofreading, filing, and calendar management with attention to detail. Knowledge of multi-line phone systems, phone etiquette, and customer service best practices. Familiarity with office equipment including multi-line phones, printers, scanners, and basic troubleshooting skills.
