Job Description

Overview We are seeking a dynamic and highly organized Office Manager/Assistant to join our team! This vital role combines administrative expertise with office management skills to ensure smooth daily operations. As the backbone of our office environment, you will handle a variety of tasks that keep our workplace efficient, welcoming, and productive. Your proactive approach and excellent communication skills will help foster a positive atmosphere while supporting our team's needs. Duties Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Oversee calendar management, scheduling appointments, meetings, and coordinating events using Google Workspace and Microsoft Office tools Perform data entry, bookkeeping using QuickBooks, and maintain accurate filing systems both digitally and physically Provide exceptional customer support by responding promptly to inquiries, assisting clients or visitors, and ensuring their needs are met efficiently Handle clerical tasks such as proofreading documents, managing correspondence, organizing files, and maintaining office supplies Support office management functions including coordinating maintenance requests, managing office equipment, and implementing organizational improvements Assist with personal tasks or errands as needed to support team members' productivity Requirements Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Experience with QuickBooks for bookkeeping and data entry tasks Excellent computer literacy including typing skills and familiarity with multi-line phone systems Bilingual abilities are highly preferred to communicate effectively with diverse clients and team members Strong phone etiquette, customer service orientation, and professional demeanor Prior clerical or administrative experience demonstrating proficiency in filing, proofreading, calendar management, and time management Personal assistant experience or office management background is a plus Ability to multitask efficiently in a fast-paced environment while maintaining accuracy Join us to be a key contributor in creating an organized, welcoming workspace where teamwork thrives!
