Job Overview We are seeking an energetic and highly organized Front Office Manager to lead our front desk operations and ensure a seamless experience for clients, visitors, and staff. This pivotal role involves overseeing daily administrative functions, managing client communication, supervising front office staff, and maintaining a professional, welcoming environment. The ideal candidate will possess exceptional communication skills, strong organizational abilities, and a proactive attitude to keep the front office running smoothly and efficiently. Duties Supervise and coordinate front desk activities, ensuring efficient check-in/check-out procedures for visitors and clients Manage appointment scheduling, calendar management, and coordinate meetings or events as needed Oversee vendor management, including liaising with service providers and handling procurement processes Handle confidential information with discretion while maintaining accurate records using bookkeeping and accounting software such as QuickBooks Support human resources functions including onboarding, training & development, and maintaining employee records Manage office supplies inventory, filing systems, multi-line phone systems, and general clerical tasks to keep the office organized Assist with payroll processing, budgeting, and financial recordkeeping using Microsoft Office spreadsheets and financial software Managing staff schedules Managing accounts payable Managing accounts receivable Skills Proven experience in office management or administrative roles with strong clerical skills Demonstrated supervisory experience leading teams effectively in a fast-paced environment Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with spreadsheets and accounting software like QuickBooks or similar financial tools Excellent communication skills—both verbal and written—with strong phone etiquette and client communication abilities Ability to handle confidential information responsibly while maintaining professionalism at all times Strong organizational skills with keen attention to detail in scheduling, filing, and recordkeeping Experience in event planning, vendor management, and office or medical office management is highly desirable Technical proficiency in office equipment such as multi-line phones, fax machines, printers, and other office hardware Join us as a Front Office Manager to lead our front desk operations with enthusiasm!
