Ottumwa, IA Position Summary:
The Office Manager is responsible for a variety of administrative and clerical duties to support daily operations, financial processes, and human resources activities. This role requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. The Office Administrator will also assist in employee management and provide general support to ensure smooth facility operations.Daily Responsibilities:
Driver and Ticket Management:
Greet drivers upon arrival, collect and input their information into the ticketing system accurately.Customer Service:
Answer incoming calls, provide assistance as needed, and direct inquiries to the appropriate department.Water Reading & Reporting:
Track daily water readings for washes and prepare a daily report.Ticket Processing & Invoicing:
Organize all tickets, prepare them for entry into the accounting system, and balance batches before submitting invoices to the Danville office.Credit Card Reconciliation:
Balance the daily credit card report to ensure accuracy in financial records.Accounts Payable Preparation:
Prepare accounts payable documentation weekly for check printing.General Support:
Assist in other building operations and tasks as needed to maintain a productive work environment.Employee Duties:
New Hire Paperwork:
Prepare and submit all necessary new hire paperwork to Human Resources.Time Card Approval:
Review, verify, and approve employee time cards for payroll processing.Hiring Assistance:
Support hiring efforts, including reviewing applications and assisting with the onboarding process.HR Paperwork:
Complete and send any additional paperwork required by HR.Issue Resolution:
Assist the management team in handling employee and operational issues as they arise.Qualifications:
Strong organizational and multitasking skills. Proficiency in ticketing and accounting software. Basic knowledge of HR processes and employee management. Ability to work independently and within a team environment. Excellent communication and customer service skills.Working Conditions:
This role is primarily office-based with some interaction in operational areas as needed.To Apply:
