full-time Branstad & Olson Law Office seeks an organized, proactive full-time Office Administrator to manage daily office operations and front-desk activities in Des Moines, IA . This role balances administrative support for our legal team with facility coordination and office management. Position Details

Compensation:

$21.00 - $25.00 per hour (commensurate with experience) Key Responsibilities

Reception & Phone Administration:

Manage the front desk, serve as the primary point of contact, and route incoming calls for current clients. Take incoming calls from potential clients and log information accurately in system.

Mail & Financial Tasks:

Sort, scan, and disperse physical and digital mail. Process bank deposits and log receipts. Handle external payments to third parties and manage client expense tracking sheet.

Client & Jail Communications:

Prepare initial fee contracts using templates provided. Take client payments. Coordinate referrals, and manage critical jail communication systems (jail notebook, calls, and access administration).

Office & Facility Management:

Maintain office supplies, coordinate building maintenance, coordinate with phone company re special scheduling, plan meetings provide support for meetings as needed, and act as the primary liaison for tenant communications. Qualifications

Experience:

Minimum of 1 year of office management, administrative assistant, or receptionist experience (Law firm experience is a plus).

Technical Skills:

Strong familiarity with Microsoft Office Suite. Experience with MyCase or similar legal practice management software is preferred but not required.

Interpersonal Skills:

Excellent verbal communication, strong problem-solving abilities, and compassion when handling challenging client situations.
