Job Description

Job Summary We are seeking a dynamic, detail-oriented, and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This vital role involves managing front desk staff and activities, delivering accuracy in administrative tasks, organizing office procedures, supporting staff, and maintaining an efficient workspace. The ideal candidate will bring strong organizational skills, excellent communication abilities, and a proactive attitude to foster a productive and welcoming atmosphere for all team members and visitors. Alpine Hot Tubs has been serving the McCall and surrounding communities since 2021. We provide hot tub sales, maintenance, and repair on the pillars of honesty, integrity, and kindness. Having 100% customer satisfaction is our #1 goal. This position offers an exciting opportunity to lead office operations while contributing to a positive company culture. Responsibilities Manage all administrative tasks including maintaining accurate records using specialized customer management programs. Oversee front office staff, ensuring visitors, clients, and vendors are greeted warmly with professionalism and courtesy. Handle correspondence via email and phone, demonstrating excellent phone etiquette and customer support skills. Coordinate calendar management and scheduling for all team members, ensuring appointments are organized efficiently. Oversee office supply inventory, place orders as needed, and maintain a clean, organized workspace. Preserve and create organized systems for data entry, filing, and supply ordering. Support light bookkeeping activities using QuickBooks or similar accounting tools, including invoicing and expense tracking. Assist with clerical duties such as typing reports, proofreading documents, managing files, and supporting general office management tasks to enhance overall productivity. Qualifications Proven experience in office management roles with a strong background in clerical tasks and customer service. Attention to detail is essential and the ability to see the "big picture" is a plus. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Docs, Sheets), and computer literacy. Ability to learn new computer programs and systems, and navigate them easily Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Strong verbal, phone, and written communication skills. Experience with phone systems, data entry, filing systems, and calendar management is highly desirable. Light knowledge of bookkeeping software such as QuickBooks Online or similar platforms is a plus. Ability to prioritize tasks efficiently with excellent time management skills.
