Job Description

Position Description The Office & Scale Administrator works closely with all departments to help facilitate the day-to-day functions of the office. Reliable and organized individuals are responsible for providing administrative and clerical support to ensure the smooth operations of our office. Major Areas of Responsibility Greet visitors and answer phone calls in a professional manner Assist with scheduling appointments and managing calendars Process and distribute incoming and outgoing mail Maintain office supplies inventory and reorder as needed Assist with organizing and maintaining office files and records Provide general support to office staff as needed Complete various administrative tasks as assigned Weigh all railcars and trucks in/out Release railcars as needed Balance yard inventories Maintain and balance orders being shipped Update cars storage sheets Track ongoing projects on spreadsheets Enter all BoL's into OTIS Minimum Qualifications High school diploma or equivalent Proficiency in Microsoft Office Suite Excellent communication and interpersonal skills Strong organizational skills and attention to detail Ability to multitask and prioritize tasks effectively Experience in an office support role is preferred but not required Work Requirements Dependable and consistent attendance/punctuality Valid driver's license required (must not have any major driving offenses within the last three years) Ability to multi-task several assignments/projects at one time Ability to maintain confidentiality with sensitive organizational and personnel information Ability to build and maintain effective relationships at all levels of the organization Ability to meet all functional requirements including, but not limited to: lifting (up to 50lbs), sitting, kneeling, standing, walking (including uneven surfaces), bending, squatting, finger dexterity, and reaching above/below shoulders Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties, or responsibilities that are required of the employee for this job.
