Esbrook P.C. is seeking a highly organized and detail-oriented Office Manager / Executive Assistant to coordinate the day-to-day operations of our Chicago office. This is a multifaceted, in-office role that requires a proactive professional with strong administrative instincts, excellent communication skills, and the ability to manage competing priorities with ease. The ideal candidate takes ownership of their work, exercises sound judgment, and contributes meaningfully to a productive and well-run workplace. KEY RESPONSIBILITIES A.
Office Operations & Facilities Perform daily stocking of the coffee station, supply drawers, refrigerated beverages, and common areas. Coordinate facilities and maintenance requests. Coordinate office moves, workspace assignments, and conference room scheduling. Manage vendor relationships and contracts, including office services, equipment, and supplies. Set up and store holiday décor seasonally. Provide general technology assistance and maintain backup equipment (keyboards, mice, printer carts) for staff. B. Reception & Communications Serve as the welcoming first point of contact for visitors and callers. Answer and direct the firm's main phone line. Distribute daily mail. Manage visitor security registration. C. Events & Employee Experience Coordinate the weekly Juice & Bagel Tuesday — a firm favorite. Celebrate employee birthdays with treats and a firm-wide email. Plan and execute firm social events including happy hours and summer/holiday gatherings. Organize Lunch & Learn events including food ordering and conference room/AV setup. Set up conference rooms for meetings including AV/HDMI configuration and guest Wi-Fi access. Make restaurant reservations for client and business meetings. D. Onboarding Assist with the onboarding experience for new hires — ID badges, equipment ordering, office setup, and system access. Assist with offboarding processes. E. Administrative & Executive Support Administer the DocuSign account and manage related document workflows. Manage the corporate credit card and reconcile monthly statements. Provide administrative and personal support to the founding partner as needed. Manage founding partner travel arrangements. Draft engagement letters, open new matters in the billing system, and assist with billing activities. QUALIFICATIONS
No prior experience required — new graduates and career starters are encouraged to apply. A background or coursework in business administration, communications, or a related field is a plus, as is any internship or part-time experience in an office setting. Resourceful problem-solver with strong organizational skills and exceptional attention to detail. Demonstrates exceptional flexibility and adaptability, with a willingness to take on a wide variety of responsibilities as needs evolve. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Excellent written and verbal communication skills with a professional demeanor. Self-starter who anticipates needs and follows through. Sound judgment and discretion when handling confidential firm and personnel information. WHAT WE OFFER A
