In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energy, attention to detail, and excellent communication skills will help create a welcoming environment for clients, businesses, and staff members alike. This position offers an exciting opportunity to showcase your multitasking abilities while supporting various administrative functions that keep our organization thriving. Responsibilities Handle multi-line phone systems, answering inquiries promptly and routing calls efficiently Maintain accurate records through data entry, filing, and document proofreading to ensure information integrity Coordinate calendar management and schedule appointments for staff members using Google Workspace or Microsoft Office tools Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial processes Provide exceptional customer service by addressing client needs, supporting customer support efforts, and maintaining positive interactions Support office management duties such as ordering supplies, organizing files, and overseeing general administrative tasks to enhance office productivity Qualifications Proven experience in office administration or clerical roles with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Google Workspace applications Experience with QuickBooks or other bookkeeping software is highly desirable Excellent phone etiquette and strong communication skills Demonstrated ability to manage multiple priorities effectively while maintaining professionalism under pressure Previous experience as a receptionist, medical receptionist, dental receptionist, or personal assistant is advantageous Strong typing skills with high computer literacy and familiarity with data entry, proofreading, filing, and office management procedures Join us in creating a vibrant workplace where your organizational talents make a real difference!
