Job Description

Job Summary Growing Electrical Contractor is seeking Administrative Assistant to perform various tasks for operations. We are looking for an individual with an extreme attention for detail who is dependable.
Responsibilities and Duties Job Responsibilities:
Assist the owner and project manager with day-to-day operations. Tasks include, but are not limited to, the following: Prepare proposals, contract documents, purchase orders, change orders and project files. Assist in the preparing of applications for payment. Prepare lien waivers for execution and transmittal. Prepare and transmit close out documents. Collect and prepare weekly payroll. Print and review vendor A/P invoices for payment and approval. Process A/P invoices in QuickBooks. Process customer billings (A/R) in QuickBooks. Make Journal entries. Bank and account reconciliations. General clerical tasks, answering phones, utilizing voice-mail and/or taking messages. Manage calendars using Outlook. Order office supplies. Follow up with the collection of A/R customers.
Qualifications and Skills Skills and Experience:
H.S. diploma or equivalent. Minimum 2 years of experience as a construction administrative assistant, including familiarity preparing and processing pay applications, lien waivers and various other contract documents. Strong computer skills are imperative. Proficiency in the Microsoft Office Suite, specifically Word, Excel, and Outlook. QuickBooks experience. Ability to update, create and maintain organized filing system both electronic and paper. Ability to take initiative and work independently.
