We're a small, hands-on team, and we're looking for someone to own the back office so the rest of us can stay focused on our clients. This is a part-time, in-office role — roughly 25 hours a week. We're flexible on how those hours land: 10-3 four or five days a week, three eight-hour days, or something similar that works for both of us. You'll start with a defined set of responsibilities and plenty of support. As you get comfortable with how we run things, there's room to take on more of the accounting side and grow into a larger role.
WHAT YOU'LL BE DOING
Invoicing clients and applying incoming payments Following up with clients on missed or late payments Setting up new client accounts in our systems Preparing, filing, and paying sales tax returns (we'll train you on our process) Receiving and reconciling equipment ordered by our technicians Verifying, coding, and paying vendor invoices Recording deposits and running monthly bank reconciliations, including for an affiliated company Ordering office supplies and keeping paper and digital filing organized Pitching in on other office tasks as they come up — this is a small company and the job flexes
WHAT WE'RE LOOKING FOR
Strong QuickBooks Online skills — this is non-negotiable; you should be comfortable entering and applying transactions and working in AR and AP without hand-holding 2+ years of bookkeeping or office administration experience Comfortable picking up the phone to check in with a client about an invoice that hasn't come in yet — friendly and professional, not pushy Accurate with numbers and detail-oriented enough to notice when a vendor invoice doesn't match what was ordered Solid Excel and general computer skills Able to work independently and prioritize your own day Discreet with confidential financial and client information
NICE TO HAVE
Experience preparing Illinois sales tax returns Experience at an IT services company, MSP, or another B2B services business Experience with a professional services ticketing or billing platform
WHAT WE OFFER

Pay:
$20.00 - $25.00 per hour Expected hours: 25.0 per week Application Question(s): Years of experience in QuickBooks Online. Before a vendor invoice gets entered for payment, what would you check? Are you comfortable calling clients about invoices that haven't been paid? When equipment is ordered for a client, it has to make it onto that client's account so it gets billed. Describe how you've kept track of items like that from the time they're ordered until they're billed out, and what you did to make sure nothing slipped through. Can you reliably commute to Montgomery for an on-site part-time role?
