The ideal candidate is professional, detail-oriented, personable, and able to manage multiple priorities. This role is responsible for creating a welcoming experience for visitors and callers, maintaining an organized office, coordinating administrative tasks, and supporting day-to-day business operations. Key Responsibilities Reception & Front Desk Greet and welcome visitors, clients, and vendors in a professional and friendly manner. Answer, screen, and direct incoming phone calls and messages. Respond to general inquiries and provide accurate information. Manage incoming and outgoing mail, packages, and deliveries. Maintain a clean, organized, and professional reception area. Coordinate visitor access and meeting room schedules. Office Administration Provide day-to-day administrative support to management and staff. Schedule meetings, appointments, and office activities. Maintain office files, records, forms, and documentation. Order and maintain office supplies and equipment. Coordinate with vendors, building management, and service providers as needed. Assist with preparing reports, documents, correspondence, and presentations. Assist with data entry and maintaining accurate company records. Support employee onboarding and general office-related needs. Help coordinate company events, meetings, and office activities. General Support Handle confidential information with discretion and professionalism. Communicate effectively with employees, customers, vendors, and management. Identify administrative needs and take initiative to resolve routine issues. Assist with special projects and other duties as assigned. Contribute to a positive, professional, and welcoming workplace environment. Confidentiality & Professionalism Handle sensitive information with the highest level of discretion. Represent the team with professionalism, diplomacy, and sound judgment. Maintain a strong understanding of company priorities, values, and culture. Required Qualifications High school diploma or equivalent required; additional administrative education is a plus. 1-3 years of experience in reception, office administration, customer service, or a related role preferred. Strong proficiency with productivity tools (e.g., Microsoft Office Suite, Google Workspace, project management platforms). Excellent written and verbal communication skills. Exceptional organizational skills and attention to detail. Ability to manage multiple competing priorities. High level of professionalism, discretion, and emotional intelligence. Strong problem-solving skills and ability to work independently. •Paid Government Holidays per the Cabinet Makers Collective Bargaining Agreement (New Years Day, Memorial Day, Fourth of July, Labor Day, Thanksgiving, and Christmas) The position we are offering is $50,000-$60,000 per year hourly. Your working hours will be roughly 7:30am-4:00pm Monday through Friday. This is a permanent position and will require you to work at the Parenti & Raffaelli Headquarters.
