High School Diploma or equivalent required. Associate degree in accounting, business administration, human resources, finance, or a related field preferred. Previous experience in payroll, accounts payable, bookkeeping, accounting, human resources, or business office operations preferred. School district, governmental, or public sector experience preferred. Experience working with computerized financial, payroll, and/or human resources systems preferred. Proficiency with Microsoft Office and/or Google Workspace, particularly spreadsheets. Ability to learn and effectively use District financial, payroll, HR, and employee management systems.
Position Overview:
The Business Office Assistant provides administrative and technical support to the District's Business Office, with primary responsibility in the areas of payroll, accounts payable, human resources, recordkeeping, and general business operations. The position works closely with the Business Manager/Chief School Business Official and District administration to ensure that financial and personnel processes are completed accurately, timely, confidentially, and in accordance with District policies and applicable state and federal requirements. The Business Office Assistant must demonstrate strong organizational skills, attention to detail, confidentiality, professionalism, and the ability to manage multiple deadlines and priorities.
Key Responsibilities:
Payroll Support Assist with processing payroll, including time records, leave, stipends, deductions, salary changes, and other payroll adjustments. Maintain accurate payroll records and assist with payroll reconciliation and required reporting. Assist with TRS, IMRF, tax, and other payroll-related reporting and documentation. Research and assist with resolving payroll discrepancies and employee payroll questions. Accounts Payable Process invoices, purchase orders, payments, and supporting documentation in accordance with District procedures. Maintain accurate vendor records and assist with W-9s, 1099s, account coding, and payment inquiries. Assist with reconciliations, financial records, audit documentation, and other Business Office reporting. Human Resources Support Assist with employee onboarding, personnel changes, benefits, employment verification, leave records, and other HR-related processes. Maintain accurate and confidential employee personnel records and required employment documentation. Assist with recruitment activities, job postings, interview scheduling, and new-hire paperwork. Track licenses, certifications, background checks, physicals, and other employment requirements as assigned. General Business Office Support Prepare reports, spreadsheets, correspondence, and documentation as requested by the Business Manager/CSBO or Superintendent. Maintain organized financial, payroll, personnel, and Business Office records. Assist with audits, state and federal reporting, grants, and compliance documentation. Maintain strict confidentiality of financial and personnel information. Cross-train on essential Business Office functions to support continuity of operations. Perform other related duties as assigned by the Business Manager/CSBO or Superintendent. Knowledge, Skills, and Abilities Maintain a high degree of accuracy and attention to detail. Handle confidential financial and personnel information with discretion. Perform mathematical calculations and review financial information accurately. Organize and maintain detailed records. Manage multiple responsibilities and meet established deadlines. Identify discrepancies and appropriately communicate concerns. Communicate professionally and effectively, both verbally and in writing. Work independently while also collaborating effectively with District administrators and staff. Follow established internal controls, procedures, Board policies, and applicable regulations. Use sound judgement and recognize when a matter should be referred to the Business Manager or District administration. Maintain professionalism when handling sensitive employee or financial matters. Adapt to changes in procedures, technology, reporting requirements, and District priorities.
