Job Description

Life Strategies is seeking a professional, organized, and proactive Administrative Office Manager to oversee administrative operations across our three office locations. This leadership role is responsible for maintaining efficient office systems, supporting operational processes, supervising administrative support staff, and ensuring a professional and compliant environment for clients, families, and employees. The Administrative Office Manager will directly supervise Administrative Assistants and serve as a key operational support partner to leadership and clinical teams within a fast-paced behavioral health and ABA services environment. Position Responsibilities Oversee daily administrative operations for all Life Strategies office locations Supervise, train, schedule, and support Administrative Assistants across offices Ensure consistent administrative processes, workflows, and office standards company-wide Monitor office organization, cleanliness, supply management, and facility needs Support client intake processes, scheduling coordination, and documentation management Maintain confidential records and ensure compliance with HIPAA and company policies Assist with onboarding, credentialing, personnel documentation, and administrative HR functions Coordinate communication between leadership, clinical staff, clients, and families Monitor administrative task completion, deadlines, and operational follow-through Assist with reporting, audits, compliance tracking, and operational projects Support training coordination, staff meetings, and office logistics Promote professionalism, accountability, customer service, and teamwork across all locations Address administrative concerns proactively and escalate operational issues as needed Qualifications Previous office management, healthcare administration, or multi-site administrative experience preferred Prior supervisory or leadership experience required Strong organizational, problem-solving, and multitasking abilities Excellent communication and interpersonal skills Ability to maintain confidentiality and professionalism in all interactions Strong attention to detail and ability to prioritize competing demands Proficiency with Microsoft Office, Google Workspace, scheduling systems, and electronic documentation systems Experience in behavioral health, ABA, healthcare, or human services strongly preferred Requirements High school diploma or equivalent required Associate's or Bachelor's degree preferred Reliable transportation and ability to travel between office locations as needed Ability to pass required background screenings What We Offer Competitive pay based on experience Supportive and team-oriented work environment Opportunities for professional growth and leadership development Paid time off and benefits eligibility Meaningful work supporting children, families, and clinical teams At Life Strategies, we are committed to providing high-quality support services while fostering professionalism, accountability, and compassionate care throughout our organization.
