Overview We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This vital role ensures smooth administrative functions, maintains efficient office workflows, and provides exceptional support to staff and visitors alike. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for creating a welcoming and productive workplace. Responsibilities Manage front desk operations, greeting visitors and handling multi-line phone systems with professionalism and courtesy Oversee calendar management, scheduling meetings, appointments, and coordinating conference room bookings Maintain accurate records through data entry, filing, proofreading, and managing office supplies inventory Provide exceptional customer service by supporting client inquiries, assisting with administrative tasks, and ensuring a positive experience for all visitors Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare documents, reports, and correspondence Handle clerical tasks such as photocopying, faxing, mailing, and organizing files to keep the office running efficiently Support bookkeeping activities using QuickBooks or similar accounting software as needed for invoicing or expense tracking Assist with personal assistant duties including calendar management for executives and coordinating special projects or events Requirements Proven experience in office management or administrative roles with a strong background in clerical support and customer service Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong phone etiquette skills with experience managing multi-line phone systems and providing customer support Bilingual abilities are highly preferred to serve diverse client needs effectively Experience with bookkeeping software such as QuickBooks is advantageous Knowledge of office procedures including filing systems, proofreading techniques, and time management strategies Previous experience as a receptionist or medical/dental receptionist is a plus but not required Join us as an Office Manager to lead our administrative team with enthusiasm!
