This contract-to-hire position plays a key role in keeping administrative processes, documentation, and reporting activities running smoothly while helping the team meet departmental priorities. The ideal candidate is comfortable balancing routine office coordination with deadline-driven projects and brings a thoughtful, service-oriented approach to supporting staff, committees, and program activities.
Responsibilities:
Coordinate administrative support for the department by managing records, correspondence, scheduling needs, and operational follow-through across multiple priorities. Review and process expense-related items such as reimbursements, mileage submissions, purchase requests, training and development costs, and hospitality spending with accuracy and timeliness. Oversee application and award administration by maintaining documentation, monitoring progress, communicating with stakeholders, and supporting committee-related activities. Track assessments, insurance materials, program paperwork, and training documentation to help maintain compliance and ensure required information is complete and current. Manage development request workflows, including routing approvals, organizing registration details, and maintaining supporting records. Provide backup assistance for employment verifications, leadership search activities, and applicant tracking processes when needed. Prepare and maintain internal reports, manage invoices, prepare and track budgets, spreadsheets, and data records to support business operations and informed decision-making. Help manage office resources and supplies while supporting efficient daily office administration and budget-related tracking. Demonstrated experience supporting non-profit organizations within office management, administrative support, or business administration within a structured environment. Strong organizational and planning skills with the ability to keep multiple assignments moving and meet established deadlines. Proficiency with Microsoft Excel and confidence working with data management, reporting, and record-keeping tasks. Ability to coordinate several projects at once while maintaining accuracy, discretion, and attention to detail. Effective interpersonal and communication skills for working with employees, leadership, and external stakeholders. Self-directed work style with the judgment to respond proactively to departmental needs. Experience supporting budget-related processes, expense tracking, or office supply coordination is preferred.
