Revenue Cycle Mail Coordinator & Office Administrator Healthcare Claims Management - 2.4 Indianapolis, IN Job Details Part-time 3 hours ago Benefits Flexible schedule Qualifications Administrative experience High school diploma or GED Medical administrative support Organizational skills Clerical experience Full Job Description Position Summary The Revenue Cycle Mail Coordinator & Office Administrator is responsible for managing incoming and outgoing revenue cycle correspondence while also supporting the day-to-day administrative needs and operations of the HCM office. This role ensures mail and documentation are processed accurately and timely, maintains an organized and professional office environment, coordinates office supplies and resources, and provides general administrative support as needed. The position requires strong organization, attention to detail, confidentiality, and the ability to manage multiple priorities while handling sensitive information in accordance with HIPAA requirements and company policies. Key Responsibilities Revenue Cycle Mail & Documentation Receive, open, sort, and distribute incoming mail and correspondence related to claims, payments, patient documentation, insurance requests, and provider communications. Prepare and process outgoing mail, including patient statements, appeals, refund letters, claim documentation, and other revenue cycle correspondence. Accurately scan, upload, and index incoming documents into the appropriate systems, including EHR and document management platforms. Coordinate with Revenue Cycle, Patient Financial Engagement, and Compliance teams to ensure correspondence is routed appropriately and within established turnaround times. Maintain tracking logs for critical or time-sensitive correspondence, including legal documents, insurance requests, denials, certified mail, and other priority items. Assist with bulk mailings, certified mailings, and special mailing projects as requested. Identify and promptly escalate correspondence that is time-sensitive, legal in nature, or requires urgent review. Support fax, secure email, and other electronic communication processes as needed. Maintain confidentiality and ensure compliance with HIPAA, company privacy and security requirements, and other applicable regulations when handling patient or client information. Office Administration & Operations Support the day-to-day operation and organization of the HCM office. Monitor inventory and order general office, mailroom, kitchen, and other workplace supplies to ensure appropriate stock levels are maintained. Maintain organized supply, storage, common, and work areas. Receive office deliveries and coordinate distribution to the appropriate individual or department. Serve as a point of contact for routine office needs and help coordinate resolution of facility, equipment, or maintenance concerns with the appropriate internal or external contact. Coordinate routine office services and vendor needs, including deliveries, maintenance visits, supply orders, and other office-related services. Assist with preparing workspaces, meeting areas, and office materials for employees, visitors, meetings, or company activities as needed. Help maintain a clean, organized, professional, and functional office environment and communicate concerns requiring additional attention. Maintain appropriate records, receipts, invoices, or documentation related to office purchases and services. Provide general administrative support to leadership and other departments as needed. Assist with special projects, office initiatives, employee events, and other administrative activities as assigned. Qualifications & Experience High school diploma or GED required; associate degree preferred. Minimum of one year of administrative, office support, clerical, healthcare, or revenue cycle experience preferred. Experience supporting general office operations or administrative functions preferred. Familiarity with medical billing, claims processing, or healthcare terminology is a plus. Proficiency in Microsoft Office, particularly Outlook, Word, and Excel. Experience using document management systems or EHR platforms preferred. Ability to handle confidential and sensitive information appropriately. Strong organizational skills with the ability to prioritize multiple responsibilities and meet deadlines. Strong attention to detail and accuracy. Effective written and verbal communication skills. Ability to work independently, identify office needs, and take appropriate initiative to address routine matters.
Operating Hours:
8am - 5pm EST You will have the ability to have a flexible schedule within operating hours - working 30 hours/week.
