This position works closely with ownership and department leaders to maintain smooth business operations and provide exceptional service to customers and employees. Essential Responsibilities Office Operations Manage the daily operations of the administrative office. Develop and maintain office procedures and workflows. Coordinate office vendors and facility needs and supplies. Maintain company records and ensure compliance with record retention policies. Support leadership with special projects and operational initiatives. Accounting & Financial Administration Process bi-weekly payroll. Manage accounts payable and oversee accounts receivable. Assist with monthly budgeting and financial reporting. Prepare financial information for management review. Coordinate with outside accounting professionals as needed. Human Resources Coordinate recruiting, interviewing, and onboarding of new employees. Administer employee benefits and annual open enrollment. Maintain employee personnel files and HR documentation. Track licensing, certifications, continuing education, and compliance requirements. Assist with workers' compensation, unemployment claims, and other employee-related matters. Customer Service & Administrative Support Support and supervise customer service representatives; cover phone systems when needed. Assist with resolving customer concerns. Ensure efficient scheduling and office communication. Maintain company management software and administrative records. Marketing & Community Relations Coordinate marketing initiatives and social media. Assist with website content and online reputation management. Plan company participation in community events and trade shows. Coordinate promotional materials and vendor relationships. Qualifications 3-5 years of administrative or office management experience preferred. Experience with accounting, payroll, or bookkeeping. Human Resources experience preferred. Strong organizational and project management skills. Excellent written and verbal communication. Ability to manage multiple priorities independently. Proficiency with Microsoft Office (Excel, Word, Outlook). Experience with CRM or business management software preferred.
