What You'll DoPatient Communication & Intake Answer incoming phone calls with professionalism, warmth, and confidence Conduct intake conversations with empathy and active listening Gather accurate patient information while maintaining clear professional boundaries Clearly explain clinic structure, scheduling expectations, and next steps using approved office verbiage Scheduling & Clinic Flow Manage provider schedules efficiently and accurately Schedule evaluations and follow-up visits with attention to clinic capacity and flow Coordinate scheduling needs alongside the Greenwood Office Manager to ensure consistency across locations Handle cancellations and reschedules according to company policy Maintain schedules without deviation from established protocols Communicate scheduling concerns, capacity issues, and operational needs to the Regional Office Manager Financial Communication (Cash-Based Practice) Confidently explain evaluation deposit requirements and payment expectations when applicable Collect Initial Evaluation deposits and process related payments accurately and professionally Ensure patients understand scheduling and financial expectations before care begins, reducing confusion and friction Coordinate with leadership regarding patient account questions and payment-related concerns Administrative & Documentation Duties Maintain accurate patient records in the EMR Use Google Workspace and Excel to support daily operations, tracking, and communication Process incoming and outgoing faxes accurately and on time Respond to patient emails and messages with professionalism and strong grammar Follow all SOPs and administrative systems consistently Professional Standards & Accountability Uphold clinic policies without creating personal exceptions Maintain consistent communication standards to protect brand integrity Represent a prestigious environment through appearance, conduct, and communication Handle difficult conversations calmly and respectfully Take ownership of mistakes and communicate challenges to leadership when support is needed Collaborate closely with the Greenwood Office Manager while receiving support, direction, and oversight from the Regional Office Manager.
