Position Overview This salaried opportunity is ideal for a grounded, highly organized, and proactive Office Manager ready to serve as the operational backbone of our headquarters. In this role, you will manage daily office dynamics, optimize workflows, and keep our environment running smoothly as the operational backbone of Cobalt Real Estate Management. The ideal candidate blends confident leadership with a direct, results-oriented attitude, paired with modern AI proficiency and strong interpersonal management skills. You will balance clear communication, team motivation, conflict resolution, and seamless reporting to leadership. (
Note:
Prior property management experience is NOT required for this role; we are specifically looking for exceptional office operations, systems efficiency, and people management expertise.)
Key Responsibilities Operations & Office Logistics:
Oversee daily office workflows, scheduling, resources, and physical/digital space organization to maximize efficiency across our operations. Manage office mail, filings, Dropbox assets, supplies, and vendor ordering.
Leadership, Motivation & People Management:
Drive productivity across teams through positive encouragement, navigate interpersonal relationships with employees, tenants, owners, and vendors alike, and manage internal workplace dynamics with level-headed professionalism.
Conflict Resolution & Boundary Setting:
Address interpersonal conflicts head-on, diffuse workplace disruptions early, and establish clear operational boundaries with a firm capacity to say "no" when necessary.
Executive Reporting & Interdepartmental Coordination:
Serve as the central operational bridge across management, accounting, and maintenance departments. Prepare clear updates, track meeting minutes, and present key metrics to executive leadership.
Technology & AI Integration:
Utilize modern workplace software (including Dropbox, AppFolio, and Property Meld) and actively leverage business-focused AI tools to automate routine administrative tasks, optimize workflows, and enhance operational efficiency.
Customer & External Client Service:
Maintain high standards of customer service as an escalation point for tenant, owner, and vendor inquiries, handling high-pressure or sensitive situations with composure.
Problem-Solving & Systems Logistics:
Analyze operational gaps, map out practical step-by-step solutions ("get from Point A to Point B"), coordinate scheduling/on-call rotations, and execute solutions efficiently.
Qualifications & Skills Leadership Style:
Confident, emotionally mature, highly accountable, and direct in communication.
Core Skills:
Exceptional time management, structural and interpersonal organizational skills, and strong, level-headed conflict resolution abilities.
Technical & AI Proficiency:
Experienced and comfortable using business AI applications alongside standard workplace productivity software (AppFolio/Property Meld experience is a bonus, but not required).
Communication:
Ability to communicate assertively up and down the chain of command, balancing an approachable tone with strong boundary-setting.
Adaptability:
Possesses a continuous learning mindset ("teacher and teachable") to guide team members while adapting to new processes as our organization scales.
Experience:
Prior office management or administrative leadership experience required. Experience in real estate or property management is not required.
Pay:
$24.00 - $26.00 per hour
