This role supports employees, leadership, customers, vendors, and the sales and distribution teams while serving as a central point of contact for office operations, facility needs, and administrative coordination. The ideal candidate is highly organized, dependable, service-oriented, and proficient in Epicor Prophet 21. Success in this position requires strong follow-through, attention to detail, effective cross-functional communication, and the ability to manage multiple priorities in a fast-paced environment.
Expectations:
The Office Manager takes ownership of the overall organization and effectiveness of the office. This individual proactively identifies needs, resolves administrative issues, maintains accurate documentation, and supports the daily operations of the business through strong ERP proficiency, communication, and customer service.
Essential Functions:

Manage daily office administration and maintain a clean, organized, and professional work environment. Serve as the primary contact for general office questions, requests, supplies, and administrative needs. Maintain office supplies, equipment, furniture, records, files, and administrative documentation. Coordinate office maintenance, repairs, cleaning, building access, security, visitor procedures, and facility-related needs. Maintain relationships with office vendors and service providers; assist with purchasing, invoices, purchase orders, expenses, and vendor records. Coordinate incoming and outgoing mail, deliveries, packages, correspondence, and shared office spaces. Provide administrative support to leadership, sales, distribution, service, purchasing, accounting, HR, and other operational teams. Utilize Epicor Prophet 21 to support operational documentation, order-related activity, inventory, shipping, receiving, customer, vendor, and business records as needed. Assist with communication and coordination among sales, warehouse/distribution, purchasing, accounting, and other departments. Support customer and vendor communication and help resolve administrative issues that may affect customer service or operational efficiency. Coordinate meetings, calendars, meeting materials, employee events, training sessions, office communications, and company activities. Support new-hire onboarding by coordinating workspaces, supplies, equipment, facility access, and other office logistics. Maintain conference rooms, breakrooms, common areas, and workplace-safety postings or documentation. Identify opportunities to improve office procedures, organization, communication, and overall efficiency.
Preferred Education and Experience:
High school diploma or equivalent required; associate or bachelor's degree preferred. Three or more years of administrative, office management, operations, or related experience preferred. Strong experience using ERP software in a distribution, sales, manufacturing, service, or operational environment; Epicor Prophet 21 experience strongly preferred. Proficiency in Microsoft Office, including Outlook, Word, Excel, and Teams. Strong organization, time-management, communication, and customer-service skills. Excellent attention to detail and ability to maintain accurate records and documentation. Ability to prioritize competing responsibilities, adapt to changing business needs, and work independently. Ability to collaborate effectively across departments and handle confidential business information appropriately.
