This dual-focused role manages critical financial workflows, such as customer billing and accounts receivable, while simultaneously leading Human Resources functions and employee engagement initiatives to maintain a productive, positive work environment.
Key Responsibilities Financial Administration & Accounts Receivable Customer Billing:
Generate and distribute accurate invoices to clients based on completed moving contracts and service scopes.AR Management:
Monitor and collect outstanding accounts receivable, preparing periodic reports on revenue, past-due status and reconciling account balances.Report Writing:
Prepare comprehensive monthly reports to analyze sales trends, revenue performance and key financial metrics to help guide business decisions.Payment Processing:
Record ACH deposits, checks, cash, or card payments in QuickBooks.Vendor Coordination:
Manage accounts payable by processing vendor invoices and purchase orders for moving supplies and equipment. Human Resources (HR)Talent Management:
Coordinate the recruitment process, including scheduling interviews, new hire documentation, and processing all incoming employees.Compliance:
Maintain up-to-date personnel records, ensuring all employees meet HR standards and required industry certifications.Employee Engagement & Culture Workplace Experience:
Act as the company culture ambassador, fostering a positive atmosphere for both office and field teams.Event Planning:
Organize team-building activities, holiday parties, and employee appreciation events to boost morale.Marketing Digital Presence:
Maintain the company's Google Business Profile and social media accounts (Instagram, Facebook) to showcase the team in action.Reputation Management:
Actively solicit and respond to customer reviews on platforms like Google and Yelp to build local trust.Email Marketing:
Execute automated follow-up campaigns and seasonal promotions to nurture leads and encourage repeat business.General Office Operations Inventory Management:
Oversee office supplies and equipment, identifying needs and maintaining vendor relationships.Operational Support:
Answer incoming calls, resolve customer service-related issues, and manage office schedules to avoid conflicts.Required Skills & Qualifications QuickBooks :
