Job Description

Job Summary We are seeking a dynamic and highly organized Office Manager/Bookkeeper to join our team! This vital role combines administrative leadership with financial oversight, ensuring the smooth operation of our office environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will manage daily office functions, handle bookkeeping responsibilities, and provide exceptional customer support to both clients and team members. Additional responsibilities Duties Oversee daily office operations, including managing front desk activities and maintaining a welcoming environment for visitors and staff Answer multi-line phone systems promptly and professionally, directing calls efficiently and courteously Manage calendar scheduling, appointments, and meeting arrangements for staff and executives Perform data entry, filing, and document proofreading to ensure accuracy and organization of all records Handle bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations Provide exceptional customer service via phone, email, and in-person interactions, supporting client inquiries and administrative needs Maintain office supplies inventory, coordinate vendor relationships, and ensure the office environment is well-organized and functional Requirements Proven experience in office management or administrative roles with clerical experience Strong proficiency in QuickBooks, Microsoft Office (Word, Excel, Outlook), Google Workspace, and general computer literacy Excellent organizational skills with the ability to multitask effectively in a busy environment Bilingual abilities are highly desirable to support diverse client interactions Experience with data entry, filing systems, proofreading documents, and calendar management Knowledge of front desk procedures, phone etiquette, multi-line phone systems, and customer support best practices Personal assistant or medical/dental receptionist experience is a plus but not required Strong time management skills with the ability to prioritize tasks efficiently Join us as an Office Manager/Bookkeeper to be an integral part of a vibrant team dedicated to excellence!
