Job Description
About the Role Festival International de Louisiane is looking for a detail-oriented, tech-savvy Office Administrative Assistant to support our small but mighty team year-round. This is a part-time position that grows significantly in the spring as we gear up for our annual festival in April — one of the largest free outdoor music and arts festivals in the United States. If you love staying organized, thrive in a fast-paced environment when things heat up, and have a soft spot for Festival International, we'd love to hear from you. Schedule & Hours Year-round (June-February): 10-15 hours per week Festival season (March-May): 30-40 hours per week Flexible scheduling available outside of festival season Responsibilities Year-Round Administrative Support Manage and reorder office supplies to keep the office running smoothly Review and enter bills and invoices into QuickBooks Assist the Executive Director with tracking and organizing grants, including deadlines, reporting requirements, and documentation Support annual compliance tasks including sales tax reporting, payroll coordination, and other recurring obligations Maintain organized digital and physical filing systems Festival Season Support (March-May) Scale up support across departments as the April festival approaches Assist with logistics and coordination with third-party vendors Manage travel arrangements for artists — flights, hotel rooms, ground transportation, and itineraries Support staff with scheduling, communication, and event coordination tasks as needed What We're Looking For Highly organized with strong attention to detail Comfortable with technology — you pick up new software quickly and don't shy away from web-based tools Experience with QuickBooks (or similar accounting software) preferred Experience with grant tracking or nonprofit administration a plus Able to shift gears and increase availability during festival season Reliable, proactive, and a good communicator Festival International lover?
