Our focus is on the bigger picture-minimizing tax liability, planning strategically, and supporting long-term financial growth. Our client base includes individuals, closely held businesses, nonprofits, and corporations, with a strong concentration of high-net-worth (HNW) clients. Annually, we handle approximately 600 individual tax returns , with roughly 450 tied to S-Corporations and Partnerships . While about 20% of these engagements are more straightforward, the majority involve complex tax situations including capital gains, investment activity, asset structures, and Schedule C businesses. We pride ourselves on maintaining a collaborative, supportive, and down-to-earth culture where team members are valued and have a visible impact. As a smaller firm, we offer the opportunity to work closely with leadership and play a meaningful role in both client service and internal operations. Position Overview We are seeking a detail-oriented, client-focused Office Manager to serve as the backbone of our office operations. This role is heavy on client service and requires someone who thrives on staying organized under deadline pressure

Key Responsibilities Serve as the first point of contact for the office, managing incoming calls and emails with a strong client service focus. Manage the flow of incoming client documents and outgoing tax returns, with particular attention to accuracy and timing during filing deadlines. E-file completed tax returns. Manage day-to-day office needs, including ordering and maintaining office supplies. Set up new clients within firm systems as part of the onboarding process. Coordinate administrative needs between staff and clients, including preparing IRS forms and obtaining client signatures. Qualifications Prior office management or administrative experience, ideally within a CPA firm, accounting practice, or other professional services environment. Strong client service and communication skills, both by phone and email. Highly organized, with the ability to manage multiple deadlines simultaneously, especially during peak tax season. Comfortable learning and working within firm systems for client onboarding and document management. Proficient with general office technology (e.g., Microsoft Office, email, scanning/document management tools). Discretion and professionalism in handling confidential client and financial information. Self-starter who can work independently and anticipate the needs of staff and clients. Preferred (Not Required) Experience with tax preparation or e-filing software (e.g., UltraTax, ProSystem fx, Drake, Lacerte, or similar). Prior experience supporting a tax or accounting team through a full busy season.
