This contract opportunity has the potential to become permanent and is ideal for someone who can create structure, maintain administrative efficiency, and provide dependable support to leadership and staff. The role requires strong organizational judgment, sound workplace conduct, and the ability to keep multiple office functions running smoothly.
Responsibilities:
- Direct day-to-day administrative activities to ensure the office operates in an organized and efficient manner
- Maintain office inventory, coordinate supply orders, and oversee the condition of equipment and general workspaces
- Organize records, track documentation, and prepare routine reports to support program needs and operational visibility
- Provide administrative assistance to leadership by coordinating schedules, managing priorities, and following through on key action items
- Review workflows and recommend practical improvements that strengthen efficiency and consistency across office operations
- Partner with team members to support smooth program execution and responsive day-to-day office support
- Assist with assigned projects while handling sensitive information with a high level of discretion
- Support front desk and receptionist-related duties as needed to ensure a welcoming experience for visitors and staff Requirements
- Prior experience in office management, administrative coordination, or a similar support role, preferably in a medical or healthcare setting
- Strong working knowledge of general office administration, including records management and supply coordination
- Experience ordering and maintaining office supplies and monitoring routine administrative needs
- Familiarity with accounts payable processes and basic financial administrative tasks
- Ability to manage scheduling, communications, and follow-up activities for leadership and internal teams
- Proficiency in receptionist and front office responsibilities, including clear and attentive communication and visitor support
