$24 - $28 an hour A highly reputable company is looking for an Office Administrator to join their team! This role includes a large range of duties including but not limited to ensuring the functionality and organization of our facilities and space operations, while also supporting administrative and team operations. This role requires a proactive and hands-on individual who can effectively manage both the physical office environment and the needs of its occupants, and much more!Job Description:
Audit the current space and develop a plan to make it fully organized and functional across industrial, demo, office, and café areas. Organize common areas, stock and label the kitchen, maintain cleanliness, hang artwork and signage, move equipment, and fix broken items. Monitor daily package deliveries, handle mail pickup and receiving, and ensure deliveries are tracked, sorted, and routed to the appropriate people. Manage trash and recycling for mixed-use spaces, including coordinating special disposal needs for industrial areas. Coordinate weekly lunch ordering for the organization. Manage vendor relationships for security, electrical, and general contracting services. Navigate building requirements and maintenance work orders, acting as the main point of contact with building management. Make strategic decisions about space utilization to optimize functionality as the company and its technology grow. Build systems and routines to maintain a functional, safe, and organized workspace. Partner with the People team to enhance the onboarding experience for new hires, ensuring IT setup, access badges, and desk assignments are handled smoothly. Manage office supply procurement, maintain visibility into operational spending, and track budgets, flagging variances proactively. Oversee the reception and front-of-house experience, ensuring smooth handling of visitors. Field, triage, and resolve daily employee requests to keep the office running efficiently. Support executive and team calendaring and travel logistics, managing bookings and changes with minimal friction. Serve as the liaison between the physical office, operations function, and the employees who rely on them. Essential Skills Proven experience in office management, administrative support, and vendor management. Comfortable operating across a wide range of tasks, from stocking the café to managing an executive's travel calendar. Hands-on approach with the ability to execute tasks before considering delegation. Experience in facilities, office operations, or workplace/admin management in a hands-on capacity. Familiarity with contractors, building codes, and permitting. Strong organizational skills with the ability to build systems, track details, and follow through consistently. Experience managing vendor relationships and contracts. Polished and discreet when providing executive support. Self-directed, highly resourceful, and capable of figuring things out independently.Benefits :
