This is a hands-on position working closely with management, employees, customers, vendors, payroll, and accounting. The ideal candidate is someone who can stay organized, meet deadlines, handle confidential information, and keep track of many details without needing constant supervision. Key Responsibilities Process and assist with weekly payroll , including employee hours, PTO, raises, commissions, and payroll reports. Maintain employee records , new-hire paperwork, attendance, PTO, and terminations. Assist with HR responsibilities , employee issues, disciplinary paperwork, and unemployment/PFML requests. Monitor bank accounts, deposits, credit cards, and account activity . Assist with Accounts Payable and Accounts Receivable , including bills, invoices, customer statements, and past-due accounts. Enter and maintain information in QuickBooks and Excel . Assist with health insurance, 401(k), workers' compensation, and employee benefit administration . Maintain OSHA records, employee safety documentation, and required filings . Coordinate driver/DOT records, vehicle registrations, EZ Pass, GPS systems, and highway-use tax requirements . Process customer and vendor credit applications . Monitor recurring bills, payments, renewals, and important company deadlines. Post job openings, review applications, and assist with scheduling interviews. Communicate with customers, vendors, employees, insurance companies, payroll providers, accountants, and other outside service providers. Maintain organized electronic and paper files. Provide general administrative support to management. Assist filing and paying state sales tax requirements and payments. Monitor monthly tax deadlines. Qualifications Previous office administration, bookkeeping, payroll, HR, or accounting experience preferred. Experience with QuickBooks and Microsoft Excel preferred. Strong organizational and time-management skills. Excellent attention to detail. Comfortable working with numbers and financial information. Strong computer and communication skills. Ability to handle confidential information professionally. Able to manage multiple priorities and meet deadlines. Reliable, dependable, and able to work independently. Honesty, accuracy, and follow-through are extremely important in this position.
